Job Description:
We seek a highly organized and proactive Sales and Prospect Coordinator to manage and follow up with prospects, coordinate with telemarketers, and ensure a seamless information flow across various sales platforms. This role involves managing prospect communication, understanding their motivation and timing, and determining their readiness for a property consultation. The ideal candidate will be skilled at building rapport with prospects, maintaining meticulous records, and facilitating ongoing engagement for short-term and long-term prospects.
Key Responsibilities:
Prospect Follow-Up and Assessment
- Coordinate with the client care manager and telemarketers to contact prospects after they receive a package.
- Assess prospects' readiness and motivation to schedule a meeting with the Team Lead.
- If a prospect is not ready or has concerns, arrange a phone call with the team lead to address their queries.
- Identify prospects likely to sell within a year and add them to the Google list for long-term follow-up, including monthly or quarterly mailings.
- Call prospects after mailing to confirm receipt and build rapport.
Immediate Contact for Buyer Prospects
- Contact new buyer prospects promptly after receiving their information.
- Gauge interest and timing to facilitate their buying journey effectively.
Data Management and Platform Coordination
- Ensure smooth flow of prospect information across all platforms, including:
- CINC
- Follow Up Boss (FUB)
- High IQ
- RealScout
- Vulcan 7
- MojoSells
- Regularly check all emails across these platforms to ensure all prospects are accounted for and updated.
- Set up all prospects in RealScout and ensure they receive listings (both sold and active) in their area of interest or near their property.
Long-Term Prospect Management
- Maintain a Google list of long-term prospects for consistent follow-up, ensuring they receive monthly/quarterly mailings to keep them engaged.
- Follow up with these prospects as needed to monitor changes in their selling/buying intentions.
Responding to Inquiries
- Respond promptly to inquiries and questions from RealScout and High IQ prospects.
- Provide information and address concerns to support prospects through their decision-making process.
Qualifications:
- Strong communication and interpersonal skills.
- Highly organized with an ability to multitask and manage time efficiently.
- Experience with CRM platforms, particularly CINC, Follow Up Boss, RealScout, Vulcan 7, and MojoSells.
- Ability to build rapport with prospects and understand their motivations.
- Familiarity with the real estate market is a plus.
Outline of Daily/Weekly Tasks:
Daily:
- Coordinate with the client care manager and telemarketers to call prospects who have received packages.
- Follow up with new buyer prospects immediately and assess their level of interest.
- Check emails and information across all platforms (CINC, MojoSells, Vulcan 7, FUB, RealScout, High IQ) to ensure prospects are updated and tasks are tracked.
- Respond to all inquiries and questions in RealScout and High IQ.
Weekly:
- Update the Google list of prospects likely to sell within a year and schedule follow-ups.
- Review all long-term prospects and schedule monthly/quarterly mailings as needed.
- Audit the setup of prospects in RealScout to ensure they receive the appropriate listings.
This role ensures smooth communication with prospects and timely support throughout the buying/selling process. Your efforts will help build lasting relationships and enhance the overall efficiency of our sales operations.
